Terms and Conditions

General

  1. 1.The Big Pedal is promoted by Sustrans Ltd [Registered Charity No. 326550 (England and Wales) SCO39263 (Scotland)] (The promoters) and the Bike Hub.
  2. 2.The challenge runs between 20-31 March 2017.
  3. 3.Any enquiry concerning this scheme should be sent to: The Big Pedal, Sustrans, 2 Cathedral Square, College Green, Bristol. BS1 5DD
  4. 4.The organisers reserve the right to cancel this scheme at any stage, if deemed necessary, or if circumstances arise out of its control.

Participation

  1. 5.The Big Pedal is open to all schools in the United Kingdom. A DfES/SEED/Inst number is required to complete registration and enable schools to participate.
  2. 6.The challenge opens at 6am on the 20 March 2017 and closes at 9am on 3 April 2017. Journeys made before the start time or after the closing time will not count towards the challenge.
  3. 7.We encourage schools to record journeys on every day of the challenge, but their final position is determined by their best five days. If they cannot record at least five days, they can choose our one-day challenge.
  4. 8.31 March is the final day of the challenge and an optional Superhero fundraising day in which schools can choose to take part. This will be open to all children at the school. However, only children arriving by bicycle or scooter may be logged as Big Pedal journeys for the competition.
  5. 9.There is no separate category for SEN schools. SEN schools with pupils who are unable to scoot/cycle to school may use school/static/adapted bikes and count journeys made at school, eg during school break times, in the playground. It is up to the discretion of school staff what constitutes one journey taking into account pupil ability.
  6. 10.When registering, schools are required to enter a figure for the entire school roll if entering the whole-school challenge, or the total number of pupils in the class if entering the class challenge.
  7. 11. In order to be included on the daily leaderboards schools should log their journeys on the Big Pedal website by 9am the following day. If this is not possible, schools have until 9am on Monday 3 April to enter their journey numbers.

  8. 12.You will not appear on the daily leaderboards if you enter your results after 9am the following day. However, points will be added to a school’s overall total if entered before 9am on Monday 3 April.
  9. 13.The leaderboards reflect results entered by 9am on each day and may not be accurate as some schools may not enter their results until Monday 3 April.
  10. 14.Staff, siblings and parents count as supporter journeys. These are recorded at the same time as pupil journeys, however they only count towards The Big Pedal total journey counter on the homepage – they do not contribute to a school or class’s overall points.
  11. 15.The promoters are not responsible for misuse of any prize, or claims, liability, loss or damage arising out of or in connection with this scheme. The promoters have no knowledge of local conditions and it may be that as a result of those conditions, including but not limited to weather conditions, construction projects, closures or other events, routes used are not safe. Any schools, by registering to participate in The Big Pedal, accept that it or its representatives must exercise judgment in their activities which result from that registration and are responsible for decisions affecting the safety of pupils and other participants.
  12. 16.Schools are advised to check all their details on The Big Pedal website prior to the start of the challenge. If any information is incorrect, they should contact the challenge organisers (thebigpedal@sustrans.org.uk) to amend the details prior to the challenge start date. Once the challenge has begun it will not be possible to amend the information given at registration. Incorrect details may lead to allocation of the wrong category and a school/class not being eligible to claim any prizes.
  13. 17.Any schools with less than 35 pupils are required to enter as a class during registration.

Results

  1. 18.The promoters will aim to publish updated daily results on the website by 9am each day, reflecting the previous day’s results.
  2. 19.Once the results for each week have been published they will be final.
  3. 20.The overall winning schools and final positions will be confirmed no later than 1 May 2017. Details of the winning schools will be published on the Big Pedal website. These will be the official and final positions as determined by the promoters.
  4. 21.The promoters will determine the winners of the prizes and final positions in accordance with their performance during the competition. All such decisions will be final and binding.
  5. 22.The overall winners of the five-day challenge will be the school/class that has the highest score in proportion to their school/class size over their best five days. The overall winner of the one-day challenge will be the school/class that has the highest score in proportion to their school/class size over their best day. These results are based on the data entered by the school/class.
  6. 23.For the purpose of calculating the points the Big Pedal uses a formula based on the journeys entered. Every bicycle or scooter journey made will be awarded the following values provided the data is entered before 9am on Monday 3 April.
    • one pupil bicycle journey = one full journey
    • one scooter journey = one full journey.

Privacy

  1. 24.By uploading photos to the Big Pedal website, schools give permission for the photos to be used by Sustrans. They also agree that they have the right to upload photos and that they have parental consent (where appropriate) for the pupils featured. Copyright of the photograph(s) remain with the photographer.
  2. 25.Sustrans collects personal information when you register to take part in The Big Pedal 2017. We will use this information to administer the event, award prizes and, if you agree, to send you information about our resources, challenges, products and services. Sustrans will not share your information for marketing purposes with any other organisation.
  3. 26.You have the right at any time to stop us from contacting you for marketing purposes. You may opt out of marketing emails at any time by clicking the ‘unsubscribe’ link. All personal information received will be processed in accordance with the Data Protection Act 1998, and will not be shared with third parties without your consent, or as required by law.
  4. 27.By taking part in the promotion, the prize winner confirms their agreement to take part, and allow the use of their school’s name, in such associated publicity as the promoter may reasonably request.

Prizes and Category Winners

The Big Pedal is designed to be a fun challenge to help your school promote cycling and scooting to school. To reflect this, prize allocation is designed to allow as many schools as we can to win prizes for their pupils’ efforts around the UK.

Eligibility

  1. 29.To be entered into the prize draw you must log your journeys on the Big Pedal website by 9am on the following day. For example, to be entered into the prize draw on Day 1 (Monday 20th March) journeys must be logged by 9am on Day 2 (Tuesday 21st March).
  2. 30.Prize winners will be selected at random from all those schools or classes who have logged more than 15.00% of their roll participating on that specific day.
  3. 31.We will aim to announce the daily prize winner by noon the following day. However we cannot be held liable if we are unable to meet this deadline.

Prizes

  1. 32.Prizes available are:
    • Day 1: Matti Hemmings will visit the winning school on day one to perform a 30 minute show followed by workshops with selected children.
    • Day 2: Sustrans Four Point mapping will provide the winning school with a bespoke A3 digital travel map.
    • Day 3: One school will receive three Islabikes. Islabikes will contact the winning school in order to select the most appropriate bicycles.
    • Day 4: Sustrans will provide five winnings schools with a sample pack of Sustran’s Superheroes or Move award schemes.
    • Day 5: Alistair Humphreys will visit the winning school on day five and present a set of his books, The Boy who Biked the World.
    • Day 6: One school will receive three Islabikes. Islabikes will contact the winning school in order to select the most appropriate bicycles.
    • Day 7: Sustrans will provide the winning school with a £100 voucher to spend in the Sustrans shop.
    • Day 8: Cyclepods will offer a Minipod or two Streetpods to the winning school on day eight.
    • Day 9: One school will receive three Islabikes. Islabikes will contact the winning school in order to select the most appropriate bicycles.
    • Day 10: The Extreme Mountain Bike Show will perform a bike trials display including the company’s ‘Big Rig’ setup along with two pro-riders.

Overall category winners

  1. 33.Journeys must be logged by 9am on 3rd April for schools to be eligible for overall category winner.
  2. 34.In the event of a tie for leader board positions in any category (regionally or UK-wide), top place will be awarded to the school with the highest percentage of pupils who rode their bike to school. If the result is still a tie, the position will be awarded to the school with the highest percentage of supporters journeys. If there is still a tie, the final positions will be drawn at random.
  3. 35.The top three schools in each of the following UK-wide categories will receive a custom made Big Pedal 2017 trophy. Schools entering the class challenge will not receive a trophy. Trophy winners:

Additional terms and conditions

  1. 36.Sustrans will put the prize-winning schools in touch with the relevant prize sponsor in order to arrange delivery and collection of the prize, where applicable.
  2. 37.Sustrans accepts no responsibility for delivery of the relevant prize by the relevant sponsor.
  3. 38.If a prize winner decides not to accept any prize, they must notify Sustrans of such decision in writing and will, with effect from the date of such notice, forfeit any and all claim to the prize. No alternative prize will be awarded. Sustrans reserves the right to deal with the prize declined in such manner as it sees fit.
  4. 39.Sustrans may substitute any prize that is awarded as part of this scheme with one of equal or greater value as it, at its sole discretion, may determine.
  5. 40.Prizes are not transferable and may not be redeemed for cash.
